The shortest answer that works

Japanese business trips are often same-day, paid a per diem, and settled with paper receipts.

The standard explanation

Business trips in Japan frequently run there and back in one day by shinkansen. Companies have written travel rules setting a per diem and hotel allowance by rank, and expenses are claimed with receipts, traditionally on paper. Bringing back local sweets for the office is customary.

As a short speech

A full paragraph you can read aloud

A Japanese business trip has a recognizable shape. Because the shinkansen network makes most major cities reachable in a few hours, a meeting in Osaka from Tokyo is often done and back in a single day, leaving early and returning at night.

Companies keep a written travel policy setting what class you may travel, what a hotel may cost and what daily allowance you receive, and the allowance is often graded by rank. Expenses are claimed afterwards with receipts, and although electronic claims have spread since the tax rules on digital record-keeping were tightened, many workplaces still involve pasting receipts onto a form.

Two customs to know. You buy sweets at the station on the way back for the colleagues who covered your work, which is why every shinkansen platform has a shop. And if you travel with a senior colleague, seating follows the same rules as a car or a meeting room, with the window or the seat facing forward offered to the senior person.

Questions people actually ask

And how to answer them.

QWhat is a per diem for?

A fixed daily allowance covering meals and incidentals, paid on top of transport and accommodation without receipts. The amount is set in company rules and often differs by rank and by domestic or overseas travel.

QDo I really need paper receipts?

Increasingly no. Rules on electronic record-keeping have been tightened and clarified, so scanned or app-based claims are accepted at many companies, though internal practice varies widely.

QIs an overnight stay expected?

Only if the distance requires it. Many companies prefer a same-day return because it is cheaper, which is why early morning shinkansen trains are full of people in suits with no luggage.
